1. Meeting Attendance

1.1 Platform

All meetings are conducted on Zoom unless otherwise requested.

1.2 Access Details

  • A unique Zoom meeting link will be generated for each appointment

  • The meeting link will be provided through multiple channels:

    • Email confirmation

    • Calendar invitation

    • Booking confirmation page

  • Participants may join using the Zoom application on their preferred device

2. Rescheduling Policy

2.1 Self-Service Rescheduling

  • Appointments may be rescheduled by clients using the automated system up to 24 hours prior to the scheduled meeting time

  • To reschedule, utilise the link provided in the confirmation email from "Futureative" with subject line "[Appointment Confirmed]"

  • The rescheduling system will display available alternative timeslots

2.2 Restrictions

  • Rescheduling requests within 24 hours of the scheduled appointment cannot be accommodated

  • Appointments within 24 hours must be cancelled directly via email to [email protected]

3. Cancellation Policy

3.1 Standard Cancellation

  • Cancellations must be submitted more than 24 hours in advance of the scheduled appointment

  • Use the automated booked system to cancel appointments within the permitted timeframe

3.2 Late Cancellation

  • Appointments cancelled within 24 hours of the scheduled session cannot be rescheduled or rebooked

  • For cancellations within this timeframe, contact [email protected] as soon as practical

  • Rebooking of cancelled appointments within 24 hours may be considered only in cases of unexpected circumstances that prevented attendance, at the sole discretion of the service provider

4. Call Recording Policy

4.1 Provider Recording

  • Meetings are not recorded by the service provider

  • This policy is subject to change with advance notice to clients

4.2 Client Recording

  • Clients may request permission to record their session

  • Recording requests must be made at the commencement of the call

  • Client recordings must be:

    • Kept confidential and private

    • Stored securely with appropriate data protection measures

    • Used solely for the client's personal reference

4.3 Consent Requirements

  • All recording activities require explicit consent from all participants

  • Recording without consent is strictly prohibited

5. Artificial Intelligence Usage Policy

5.1 AI-Powered Services

  • Third-party AI tools may be used to transcribe, interpret, and analyse meeting content to generate actionable notes and summaries

  • All AI processing is conducted in accordance with privacy and data protection standards

5.2 Opt-Out Rights

  • Clients may opt out of AI processing through their client agreements, which can be amended at any time

  • Currently, session notes are provided exclusively through AI processing, so opting out means no session notes will be provided

  • Consultations are not affected by opting out of AI processing
